Another alternative if the the weather is nice might be Central Park at the Great lawn or wherever you decide that is convenient for everybody--well not everybody but majority of the participants. what do you think about battery park city? there is an atrium with 75 foot palm trees, tables, chairs,...

There is a nice place in Midtown-Manthattan a building owned by CitiGroup where the whole lobby is opened to the public as part of some kind of company's deal to the city. The lobby has chairs and tables- huge place. There are restaurants and food stands too. This place is accessible by trains...
